SHELTER MANAGER POSITION
Partners for Affordable Housing, Mankato, MN
Responsible for the management, direction and facilitation of daily operations for Partners for Affordable Housing’s (PAH) two Emergency Shelters – Theresa House and Welcome Inn, located in Mankato. The manager will enable an environment that will provide transitional shelter stays, safe sleep, create and support initiatives to help guests address barriers, and provide coordinated support services to women and families experiencing homelessness in our community. The manager will also promote a team-based environment of support, collaboration and encouragement where staff contributions are valued. The manager is expected to model professionalism, positivity and be a champion of our mission.
AREAS OF RESPONSIBILITY – The essential functions include but are not limited to:
Facilities and Operational Activities:
Oversee/supervise daily operations of the shelter.
Support organizational efforts to promote the work of PAH to support people experiencing homelessness due to low income and other barriers, create awareness of the homelessness issues in our community.
Manage shelter finances including expenses, staffing, grants funding and management with the goal of financial sustainability.
Work in collaboration with the director when applying for grant funding,
Collaborate with the shelter case manager and shelter case aide for optimum alignment of duties and guest support.
Monitor facility to maintain a clean and safe environment for guests and staff.
Facilitate and monitor guest recordkeeping including shelter stay and exit, violations of guidelines, attendance and more.
Facilitate basic maintenance, organization & cleaning of facilities, in collaboration with others.
Participate in program and management meetings and relevant trainings as required.
Facilitates and supports state coordinated entry system (HMIS), including following rules and procedures related to data entry, tracking and reporting.
Attend meetings related to duties and responsibilities, whether internal or external.
Client Safety and Security
Educate and support clients in understanding and following shelter routines and guidelines.
Adhere to shelter policy, procedures and professional code of ethics.
Treat clients in a culturally sensitive manner, with a trauma-informed lens.
Set rules and guidelines for houses and guests and ensure compliance
Facilitate guest intake, disciplinary and discharge procedures
Ensure that shelters meets local and state regulations covering health, safety and capacity requirements.
Facilitate and uphold the highest confidentiality and respect for guests and their personal Â information
Ensure people not directly associated with the case management of a guest from being on property or within shelter houses, including those associated with staff.
Provide crisis intervention when necessary
Complete documentation as required
Background checks on potential guests
Facilitate secure key management system
Facilitate security surveillance system
The shelter manager will work to establish and maintain a favorable public image and promote positive relationships by representing PAH within the local community and by collaborating with area partner agencies.
Provides input and/or content for organizational Newsletters
Supports general Marketing and Outreach functions
Forwards information regarding donations, volunteers, communications inquiries to the Communications Coordinator
Support director and co-workers by coordinating or assisting with events that support the shelters and organization
Involvement in grant writing and grants management
Staff and Volunteer Management:
Facilitate staffing management – recruit, hire, orient, train, supervise and hold accountable.
Background checks on potential staff
Ensure that new volunteers are oriented to their work, and oversee as needed, In collaboration with the Communications Coordinator
Facilitate staff time keeping for payroll
Identify training needs for staff and leading or seek help or resources for learning
Keep staff personal information confidential
Responsible for moving donations, including furniture and other items, with assistance from other staff members
Other duties as assigned or needed
Bachelors Degree or Associates degree plus equivalent experience in behavioral health, human services, social services, non-profit management or related field preferred
Preferred: Associate of Arts Degree, in Social Work, Psychology, Human Services, or related field, or equivalent experience.
Previous experience working with those experiencing homelessness or a shelter environment preferred.
1-3 years of experience in community organizing or leadership, preferably direct supervision experience over others..
1-3 years of experience with program management with a strong sense of planning, communication, evaluation and change management
Strong verbal and written skills are mandatory; strong organizations skills, effective time management, attention to detail and ability to be self-motivated and disciplined
Experience in planning and facilitating projects including logistics, budgeting, interpersonal, communication, and teamwork skills required
Availability to work a flexible schedule including some evenings and weekends is required; must be available to assume on-call responsibilities on a rotating basis
Prior experience in public speaking or training is preferred
Local travel required; must have a reliable vehicle, insurance and clean driving record
Working knowledge of software applications including Word, Excel, and Outlook
Preferred: One year experience working with homeless population. Experience working with people who have experienced homeless preferred.
Excellent administrative and communication skills (e.g., emails, case notes, organization).
Must be a self-starter who is highly organized, able to prioritize and is highly flexible/adaptive.
Must possess a heart for advocating for and supporting the low-income population.
